Ad Operations Coordinator

Do you want to learn the programmatic ad industry? Are you a stickler for details? Love to organize things? Are you a computer whisperer? If so, join us. Our Ad Operations team members are part mechanic, part detective, and part wizard.

The Ad Ops Coordinator position is considered the support position of the Ad Ops team, however, still requiring an attention to detail and a desire to evolve the position. Team members in this role gain deep insight into the online advertising world as well as grow their careers through continued education in the workplace.


What you’ll do:

Be directly responsible for the following: 

·      Prepare ad campaigns to ensure a successful transition of materials

·      Own QA process for campaign materials prior to launch

·      Communicate campaign objectives and instructions to relevant team members

·      Ensure campaign and advertiser information in INDEX is setup correctly 

·      Accurately implement campaign materials and targeting into various platforms 


In addition, the Ad Ops Coordinator will be expected to perform the following:

·      Support the creation of ad campaigns across proprietary and 3rd-party platforms

·      Utilize LumenAd’s propriety software INDEX to monitor campaign performance 

·      Assist Ad Ops Leads in report analysis, QA processes, and troubleshooting

·      Anticipate and identify issues as well as proactively recommend resolution

·      Backfill the Ad Ops Lead position for support and potential growth (if desired)

·      Familiarity with debugging tools a plus

We are seeking a full-time Office Coordinator to help oversee the daily flow of the business. In this position, you will be the first point of contact for our company and the face of LumenAd. Fires come up every day, big and small, so we’re looking for someone who can calmly and swiftly put them out with a smile on his/her face. Multitasking and meticulous organizational skills are essential for this position. This roll is purposely generic because you will get exposure to all facets of operations for a fast-growing start-up. This includes, but is not limited to: 

  • Welcoming visitors and directing them to the appropriate parties.
  • Running ad hoc errands and managing offsite vendor relationships.
  • Helping the Director of Operations with daily paperwork, emails, phone calls, requests from employees, etc. to maintain a productive workspace for all employees.
  • Scheduling and organizing onsite meetings, trainings and lunch and learns.
  • Managing onsite facilities including maintenance, troubleshooting and repair of physical property, office equipment, IT systems, building access and security, building improvements, general maintenance coordination and maintaining relationships with building management and ownership.
  • Supporting Operations staff on projects including but not limited to event planning, facilities improvements, recruiting and employee onboarding.
  • Keeping a keen eye for detail around the office, ensuring the common areas are tidy and professional
  • Helping to maintain the supply room. Ensuring supplies are stocked and equipment is purchased when necessary. This includes daily equipment needs and new hire preparation.
  • Helping Plan team bonding activities on and off site.
  • Helping identify process inefficiencies and ways to improve operations workflow.

The ideal candidate will have experience in a client-facing role customer relationship management and a knack for sales. S/he will be able to identify business opportunities and grow them into long-standing, profitable partnerships built on stellar results and top-notch communication.

The Accounts team is the center of our customer operations, and is the driving force behind our sales and support. Through our customer-focused approach to digital media management, we provide above-and-beyond customer service to hundreds of advertisers, agencies and other media-buying professionals. Members of this team enjoy the opportunity to gain deep insight into the online advertising world and grow their careers through continued education in the workplace.

Responsibilities

  • Develop a trusted advisor relationship and act as the lead point of contact for a specific group of clients
  • Analyze and present campaign performance on calls and via email communication to ensure all parties are pleased with the level of performance received
  • Work across departments in developing broader account strategy and defining implementation tactics by continuously collaborating with clients on their digital media plans
  • Manage and strengthen customer relationships
  • Work with client to develop media plans that help solve their problems
  • Act as key strategist for individual campaign initiatives throughout the year
  • Keep clients’ needs and goals top of mind in order to act as an advocate
  • Initiate, coordinate, and oversee all company activities on behalf of the client
  • Work with company colleagues to launch and update campaigns
  • Respond to client questions in a timely manner
  • Maintain meticulous documentation of all activities on the client’s behalf
  • Identify any issues before the client does and provide solutions
  • Take part in pitches for new contracts (as needed)
  • Continuously offer unsolicited ideas to increase the effectiveness of the client’s marketing initiatives
  • Contribute to LumenAd’s profitability through good management
  • Work with the internal team to exceed the client’s expectations and keep re-earning the client’s trust
  • Stay abreast of new solutions and opportunities within the ad tech space

Skills and Requirements

  • 4-year degree in related field or relevant work experience
  • Ability to communicate clearly both verbally and in writing
  • At least one year of agency experience
  • Well-organized
  • Excellent people skills and the ability to work with a wide range of people
  • Professional appearance and persona
  • Readiness to working long or non-standard hours when necessary
  • Travel to the client may be required

  • Support account team in administrative duties such as order processing and invoicing
  • Utilize LumenAd’s propriety software platform INDEX to monitor campaign pacing and performance
  • Establish productive relationships with members of each of the internal teams
  • Serve as an expert on campaign processes including creative preparation, technical requirements, reporting setup and overall project management.
  • Work with team members to troubleshoot campaign issues and develop efficient solutions
  • Generate campaign updates and deliver post-flight reporting
  • Audit campaigns to ensure accuracy
  • Recommend and implement process improvements
  • Train as backfill to the Account Executive position, for needed support and potential future growth (if desired)

 Skills and Requirements

  • 4-year degree in related field or relevant work experience
  • Detail-oriented and organized
  • Strong communicator—both verbally and in writing
  • Thrives in a high-pressure environment
  • Computer skills. Candidates must have proficiency in Microsoft Excel.
  • Experience in ad-buying platforms (recommended but not required)
